Wedding + Events Assistant

Job Description:

Our company specializes in creating unforgettable experiences for weddings and events. As an Events Coordinator, you will play a pivotal role in ensuring the seamless execution of each event. No two events are the same, and your adaptability and attention to detail will be crucial in guaranteeing the success of every occasion.

Key Responsibilities:

  1. Pre-Event Preparation:

    • Review the venue final details sheet provided by the venue director, including timelines, vendors, floor plans, and client goals.

    • Setup, chairs, and, client decor.

    • Unlock the venue, turn on lights, and set up climate control.

    • Prepare the venue for client and guest arrival, ensuring everything is in place and ready to go.

    • Check and restock bathroom inventory to maintain guest comfort.

    • You may be asked to help direct cars and people outside into the space

  2. Vendor and Client Interaction:

    • Greet vendors upon arrival, assisting and answering any questions they may have.

    • Welcome clients and remain available throughout the event to address any concerns or queries.

    • Assist with venue-related needs, such as adjusting lighting and climate control, to ensure a comfortable atmosphere.

  3. Event Execution and Cleanup:

    • Monitor the event timeline and adhere to venue rules, including ensuring the bar closes on time.

    • Maintain cleanliness and order throughout the venue, including outdoor spaces and bathrooms.

    • Ensure the safe departure of all guests and oversee cleanup operations.

    • Organize and pack personal belongings for client and help load into their car.

  4. Vendor Supervision and Venue Closure:

    • Coordinate with vendors to confirm the removal of bar stock, trash, linens, and equipment from the venue.

    • Secure the venue after all vendors have departed, including turning off lights, climate control, and locking up.

  5. Post-Event Reporting:

    • Provide the venue manager with a summary or short synopsis of the event via email.

    • Conduct a review of the vendor team, noting strengths and areas for improvement.

    • Share observations and recommendations for venue workflow optimization or enhancing the client/vendor experience.

Qualifications:

  • Previous experience in event coordination or hospitality preferred.

  • Excellent organizational and multitasking skills.

  • Strong communication and interpersonal abilities.

  • Ability to remain calm and composed under pressure.

  • Flexibility to work evenings, weekends, and holidays as required.

Work Schedule:

  • Flexibility to work evenings, with shifts potentially extending as late as 11:00 PM.

  • Availability for extended workdays, with some events requiring up to 12-hour shifts.

Candidates should be prepared to accommodate varying event schedules, including evening hours and longer shifts as needed to ensure the successful execution of events. While specific event durations may vary, a willingness to work flexible hours and extended shifts is essential for this role.

Rate:

  • Hourly wage starting at $17, with potential for growth based on performance and experience.
